Meddo provides a flexible and secure system for managing roles, permissions, and visibility settings. These features enable effective collaboration while maintaining appropriate levels of access and accountability within your organization. Below is a detailed breakdown of the roles, permissions, and visibility settings available in Meddo.
Roles and Permissions
Meddo defines specific roles to suit different levels of responsibility and functionality:
Viewer
Capabilities:
View most items in Meddo.
Create updates for strategies or initiatives.
Limitations:
Cannot own strategies or initiatives.
Cannot manage organizational settings or invite other users.
Editor
Capabilities:
Create and modify most items in Meddo, including updates.
Invite both Viewers and other Editors to collaborate on strategies and initiatives.
Limitations:
Cannot manage organizational settings or members (e.g., adding or removing users).
Cannot edit billing details or organizational details like logo, name, or fiscal year.
Owner (Single Owner Policy)
Capabilities:
Full access to all features and settings in Meddo.
Can:
Suspend users.
Change user roles.
Edit organizational settings (e.g., logo, name, fiscal year).
Manage billing information.
Exclusive administrative control over the organization.
Limitations:
Only one Owner can exist per organization.
Ideal for:
Organization administrators who require unrestricted access and sole authority over organizational settings.
Owner Transfer Process
Implications:
Changing the Owner means transferring the entire organization to someone else.
After the transfer, the payment method will remain linked to the previous Owner unless explicitly updated. This could lead to billing complications if the old payment method remains active.

Note: The Owner is assigned during the organization’s creation.
Billing Admin
Capabilities:
Equivalent to Viewer.
Additional ability to:
Edit and manage billing information.
Change organizational settings, including logo, name, and fiscal year.
Limitations:
Only one Billing Admin can exist per organization.
Ideal for:
Users responsible for managing the organization’s financial and structural details without interfering with operational strategy creation.
Visibility Settings
Meddo’s visibility settings provide robust control over who can access and interact with specific items within your organization.
Subscribers
Purpose: Notification management.
Functionality:
Subscribers receive notifications about updates and events related to a specific strategy or initiative.
Role Impact:
Does not affect access or permissions beyond notifications.
Contributors
Purpose: Organizational accountability and structure.
Functionality:
Contributors can view private items they are assigned to.
Role Impact:
Essential for limiting access to sensitive or confidential initiatives while maintaining accountability.
Private Items
Definition:
Items marked as Private are only visible to the Owner and assigned Contributors.
Rules:
Entire strategy trees must be either fully public or fully private.
If a Contributor is added to a private initiative, they gain visibility into that initiative and its related strategy.
Best Practices for Using Roles and Visibility Settings
Assign roles based on responsibility:
Use Viewers for team members who only need to track progress or updates.
Use Editors for those actively managing content within Meddo.
Assign the sole Owner role carefully, as it has exclusive administrative authority.
Utilize private visibility judiciously:
Use private initiatives for sensitive or confidential projects.
Ensure the necessary Contributors are added for accountability.
Manage notifications through Subscribers:
Add key stakeholders as Subscribers to keep them informed without overwhelming their permissions.
